LLAINFRAN HOUSE
BED AND BREAKFAST – TERMS AND CONDITIONS




1 The booking is initially considered as provisional and held for a period of 5 days until a non-refundable 30% deposit is received, [if in the form of a cheque, when it has cleared, usually 3 days after banking]

The balance is payable on or before departure

2 Cancellation. If the booking is cancelled within 14 days of planned arrival, you become liable for the full amount unless we are able to re-let the room for the entire duration of your booking. When a refund is possible an administration fee of £10.00 and any commission paid to a third party will be deducted from the refund.
We advise that you take out travel/cancellation insurance to cover this eventuality.

3 Payment. We accept payment by most Credit Cards (2.6% handling charge), Debit Card, cheque with Guarantee Card or cash.
The 2.6% handling charge applies to all non UK Debit and Credit Cards

4 Single occupancy rates do not apply during weeks when a Bank Holiday falls or from 10 th July – 3 rd September, when the full rate will be charged.

Special Offer discounts do not apply to Single occupancy rates. The room is allocated on arrival.

5 Children aged 3 - 12 years old on day of arrival, sharing a room with two adults are charged at 50% of the per person per night room rate. Discounts do not apply.

6 Children and babies under 3 years of age on day of arrival are charged at 25% of the adult rate per night when sharing a room with two adults, and slept in a Travel Cot (bedding not provided). Discounts do not apply

7 Arrival time is from 2.00 pm . Earlier arrival may be possible by special arrangement, at the discretion of the management.

8 Rooms to be vacated by 10.00am on day of departure. Later departure may be possible by special arrangement, at the discretion of the management.

9 Smoking policy. Llainfran House is a non-smoking establishment.

Smoking is permitted in the garden.

10 Breakfast is served between 8.15am and 8.50am (last orders). Guests are asked to give their preferred breakfast time the previous evening to assist us in ensuring your food is freshly cooked

11 Pets. We are unable to accept pets, either in guests’ rooms, or sleeping in their owners’ vehicles.

12 Disabilities. We encourage and welcome all guests with any sort of disability, and will do our very best to accommodate any special needs. Please ask for our “Accessibility statement”

TERMS AND CONDITIONS FOR “STABLE COTTAGE”

1 Your Booking
All offers and bookings are subject to availability. The person making the booking will be deemed to be the party leader, and must be 18 years of age or over at the time of booking. This person, unless otherwise specified, for the purposes of the booking will be responsible for all of the rest of the party, and also for all other aspects of the booking including paying for all of the booking, and any shortfalls of any monies due either during the booking or after the event. No more than the stated maximum occupancy level of any cottage may be exceeded at any time during the booking. [except babies, see below] When you receive your confirmation, you must check all details and inform us immediately if anything is incorrect.

1a Payment
Please check availability by phone. Once you have made your booking it will be held for up to 7 days until a 30% deposit is received, then a written confirmation showing your booking details and the balance of your holiday cost will be sent to you. The balance must be received by us not later than 8 weeks before arrival date. For bookings made within 8 weeks of arrival, the whole amount is due at time of booking.

2 Single sex, Business bookings, Hen & Stag parties
Any all single sex parties and or business bookings, must be declared and specifically agreed with us prior to a booking being confirmed. No Stag or Hen parties will be accepted at any time

3 Insurance
We have all necessary third party and public liability insurance on the property. However your personal and travel insurance is not included, and we strongly advise you take out Personal travel and Cancellations insurance.

4 Cancellation by you

All monies paid, are non returnable unless we are able to re let the property. In such a case, if just the deposit has been paid, it will be refunded less an administration fee of £25 and any commission paid to a third party. If the full amount has been paid, we will refund the amount that we are able to re-let the cottage for, less an administration fee of £25 and any commission paid to a third party.

5 Cancellation or changes to your booking by us

We will endeavour to honour your holiday booking as booked, however, if we are unable to do so, for any reason beyond our control, we will cancel your booking and refund all monies paid. No further liability will be accepted

6 Brochure details
We have made every effort to ensure that the details contained in our brochure are accurate at the time of producing the brochure, We have a rolling programme of maintenance and improvements carried out throughout the year, but if any changes occur which substantially alter your holiday, we will notify you.

7 Liability
We shall have no liability for any death or personal injury. You must take all necessary steps to safeguard your personal property. No liability is accepted by us in respect of damage to, or loss of such personal property. “We strongly advise you take out Personal travel and accident insurance”. Please note we are in a rural environment, where some surfaces can be uneven and slippery, at night it can also be very dark. A rechargeable torch is provided but extra care will be needed especially at night

8 Your property, occupancy and babies
You can arrive after 3.30 on arrival day, and you must vacate the cottage by 10.00am on the day of departure
If you are going to arrive after 8.00pm on arrival day, please inform us of your arrival time
No more than 6 people may stay in Stable Cottage. [Or the agreed number of persons for a discounted booking where a specified reduced number of persons was agreed, for all or any of the rental period.
In addition, over the occupancy, one Baby under 2 years of age on day of arrival, may be included free of charge per cottage.
Additional babies to above, over the max occupancy of the cottage, will be charged at £20.00 per week
You and all members of your rental party must agree to keep, and leave the property clean and tidy, and vacate the cottage by the check out time specified.
The property must not be used for any commercial or business purpose, and you may not sub-let it.
You are responsible for the actual cost of any breakage or damage in or to the property, along with any additional costs that may result.
We are entitled at our absolute discretion to refuse to hand over to you, or repossess, the property, if we reasonably believe that any damage is likely to be caused, has been caused or is being caused by any members of your holiday party. These circumstances will be treated as a cancellation by you, and no refund will be given, and we shall have no liability to you.
You must allow us, the Owners, or our representatives access to the property at any reasonable time.

9 Complaints
We have made every effort to ensure that your holiday is enjoyable and trouble free.
If you do have a complaint or problem, it is essential that you inform us immediately, so that we may be given the opportunity to rectify and correct the situation as soon as possible. Any complaints or problems encountered during your stay, and not reported at the time, will not be considered at a later date.

10 Communicating with you (Data Protection)
For the purposes of the Data Protection Act 1998, we are the sole data controller of all personal details provided to us by customers and
prospective customers. In order to process your booking we need to collect certain personal data from you.
We guarantee not to pass these details on to third parties, but may store your details for our own administration, such as future marketing.
If you specifically do not want to be contacted again after your holiday, please notify us, and we will amend our records accordingly.

11 Disabilities,
We encourage and welcome all guests with any sort of disability, and will do our very best to accommodate any special needs. please ask for our “Accessibility statement”

12 Law
It is agreed that any disputes you may have with us are dealt with by the Courts of England and Wales only.

13 Your Rights
Your statutory rights are not affected by anything contained within these conditions.

14 This Brochure
Prices and conditions contained in this brochure may be superseded by subsequent editions.

15 Pets
Pets are not accepted at Stable Cottage

16 Smoking
Smoking is not permitted inside the cottage, but guests are welcome to smoke outside

LLAINFRAN CARAVAN CL SITE
TERMS AND CONDITIONS

1 This is a CL site for ‘Caravan Club’ Members only. There will be no more than 5 units on the site at any time. Membership numbers will be asked for at time of booking, if not available at that time, must be given with deposit or latest, upon arrival on site.

2 Our Season. We are open from the week before Easter to Mid October. Motor homes are accepted between Mid May to Mid September, {Caravanette’s all season as per caravans}

3 Your pitch consists of a spacious mowed pitch with expansive country and varying sea views. Allocation will be clear upon arrival. We will do our best to accommodate specified preferred pitches, but can make no guarantee that a particular pitch will be available upon arrival.

4 Includes, a 16amp 240 volt electric hook-up point. Fresh water tap on the site and Chemical emptying point outside the toilet facilities. Use of the toilets and free hot water electric shower. Use of our dog exercise area, our information centre and tumble drier [coin operated]

5 Permitted on the pitch. Your unit may consist of a single caravan and towing vehicle, or motor home up to 5.5metres overall length, or Trailer tent, and you may also have a single pup tent for members of your party. This will be ancillary to the main unit and will not be a separate living unit.
You party, may be up to a maximum of 6 occupants including babies children and dogs. Larger parties may be acceptable subject to additions fees.

6 Ground sheets / tents. Only breathable groundsheets will be permitted. Tents with impervious ground sheets will need to be moved once a week.

7 Pitch fees. These will be advised upon making your initial enquiry. The pitch fees may vary during the season, and is likely to be in excess of those stated in the “CL Directory hand book” which is only issued every two years.

8 Additional parties. Extra visiting “day visitors”. We must be prior notified, and we may make extra charges of which become collectable from the original booked party. These extra visitors must abide by site rules, especially dogs on leads, and will not be expected to stay overnight.

9 Dogs. A maximum of two dogs will be permitted. These must at all times be under control and on a lead. Dogs may be off a lead in the exercise area, as long as the owner has full control. Dogs must not foul the site area and owners must clear up after their dog at all times.

10 Bookings and enquiries will be accepted by phone or E mail, whereupon availability and pitch costs will be advised. If you want to proceed with a booking you will be asked for :-
Name – address – contact phone number – Membership number – Type of touring accommodation ie. caravan / motor home / trailer tent – number of adults – children – dogs. Finally :- A request for an approximate 30% non returnable deposit, and confirmation of where to send such deposit.
“Why do we insist on a deposit ?”
As our site is likely to be fully booked during the summer months, and we need to ensure that bookings once made, are honoured. A deposit guarantees your pitch will be available for you upon arrival.

12 Twin bookings. Double bookings are acceptable and we will endeavour to provide two adjacent pitches. If the person making the booking, books for both parties and sends a double deposit, then that person, will become liable for the cost of both bookings in full. It is advised that both parties send deposits in their own right, and each becomes liable for their part of the booking , in the event of a cancellation.

13 Proposed members will be able to book, by assurance that they will be full members at time of arrival, and a membership card can be shown upon arrival

14 The booking is considered provisional and held for 5 working days, after that period, if no deposit is received, the booking will be considered cancelled without further notification from us. Confirmation of receipt of the deposit, will not normally be sent unless a self addressed stamped envelope is enclosed with your deposit.

15 Cancellations. When you make a booking you are making a contract, and are bound to pay the full amount. Deposits are non refundable, and once booked, you become liable for the full amount of the booking. Unless after we are notified of you cancelling your booking, we are able to re-let the pitch for the entire duration of your proposed stay. In this event a refund will be possible less an administration fee of £5.00

16 Arrival / Departure times, Arrival and departure time is 12.00 Noon. You may arrive earlier by prior arrangement but may be asked to park in the holding area if your pitch is not yet vacated, this area will not have an electric hook up. Departure may be slightly later only by specific prior arrangement, and you will again be asked to de pitch and park in the holding area. Latest arrival is 7.00pm whereupon the pitch may be re-let. Later arrival is acceptable provided we are notified.

17 Payment of any outstanding Fees becomes due in full upon arrival. You may also be required to show your up to date membership card at this time
